TERMS & CONDITIONS

Once you are enrolled, you will be asked to accept the terms and conditions relevant to your enrolment.

Sessions are held during school terms (9–11 weeks). Term times are on our website. Sessions are bookable during the term holidays depending on mentor availability. You can do this with the self booking function.

  • You have your own music account with us Opus1 where you can view your schedule, session notes and manage your bookings and payment.

  • All communication with mentors and SOLE must go through the chat function on Opus1. This includes requesting a Zoom session. See below on how to request this on Opus1.

  • Any other requests, withdrawals, must go through our studio email at solestudio@solemusicacademy.co.nz.

There are no sessions on public holidays, if your session falls on these days you will automatically receive a makeup credit to be used at one of our high-value workshop experiences.

Practice and Preparedness: Students are expected to be present, passionate, and ready to learn. Regular practice outside of sessions is encouraged.

Respect and Conduct: All students are expected to show respect for SOLE’s premises, equipment, mentors, and fellow members. Please do not attend the studio if you are unwell. For the safety and wellbeing of everyone, all rooms are monitored by CCTV 24/7.

Reporting Issues: Any concerns involving other members or mentors should be reported directly to the SOLE Director.

We use a platform called Opus1 which is very user friendly. 

You can access Opus1 through our website — just click Login on the top right corner at https://www.solemusicacademy.co.nz/sign-into-opus-system

Opus1 allows you to:

  • Easily self-book sessions online with your mentor preference

  • Use your makeup credits at your convenience

  • View our calendar. Note: If you wish to change your recurring session, simply find the time that suits and contact admin to amend your schedule.

  • Chat directly with mentors about session notes and progress or request a zoom session.


Session Policy

At SOLE, enrolments are continuous and we ask for a minimum commitment of one school term (around 3 months). If you are unsure about committing right away, we offer a one-off paid trial session (single visit). This gives you a chance to experience SOLE before officially enrolling. After your trial, we’ll be in touch to see if you’d like to continue.

After this initial 3 month period, you’re welcome to withdraw at any time — we simply require 4 weeks' notice. This means lessons will still be charged for the 4 weeks following your notice to withdraw as this helps us ensure stability for our mentors and keep the programme running smoothly.

To streamline planning, we encourage withdrawal requests to be submitted during Week 6 of the term, but you're not locked into a term-by-term cycle once the first term is complete.

Payment

At SOLE we have a monthly subscription model—no more big, upfront term invoices.

Once you’ve claimed your opus1 account, you’ll need to enrol in AutoPay by adding your preferred debit or credit card details. 

Your card will be automatically charged on the 1st of each month, based on the type and number of sessions you or your child are enrolled in for that month. If you join part-way through the year, charges will begin from your start date and then continue on the 1st of every month - paid in advance of sessions.

  • Session prices include GST and credit card fees. 

  • For new students, a one-off registration fee of $35 will be added to your first monthly bill. If you return later, you won’t be charged this fee again.

  • For all members, a small music resource fee of $5 is added every month to support the high-quality resources we provide to all members – including access to professional music platforms, sheet music, backing tracks, creative tools and plugins for songwriting and production, live sound gear, and professional equipment.

  • If you change your session type or number of sessions, your monthly fee will be updated from the following month.

  • We’re unable to offer refunds.

  • A 5% family discount is automatically applied when two or more immediate family members are enrolled.

  • A $20 fee will be applied to your account if your scheduled payment fails and cannot be completed.

These terms are designed to give you flexibility, while still ensuring our mentors are valued. 

1. One Reschedule Per Term - For Individual Sessions Only

If you are enrolled in an individual session, you are entitled to one rescheduled session per term, as long as you give us at least 24 hours’ notice. When you cancel your session, with 24 hours notice, you will receive a makeup credit. Rescheduled makeup credits aren’t available for group sessions, as these run as scheduled regardless of individual attendance.

With our Opus1 system, you can use the makeup credit to rebook online:

  • With your usual mentor

  • With another available mentor 

  • Or one of our high-value workshops 

Important notes:

  • Your makeup credit expires after 3 months.

  • A rescheduled session cannot be rescheduled again. If you miss the reschedule, it will be forfeited.

  • If your session usually falls on a public holiday, you will automatically receive an extra makeup credit to be used at one of our high-value workshops.

  • If your mentor is unwell or unavailable, we’ll arrange a fill-in where possible. If that’s not available, you’ll receive a makeup credit.

2. One Sickness Credit Per Term – Available to All Members

If you or your child is unwell, you may be eligible for one sickness credit per term. This credit can be used to attend one of our high-value workshops, offered during the term or school holidays.

  • Free, if you notify us only by sole studio email with 24+ hours’ notice before the missed session.

  • $10 Short Notice Fee, if you notify us on the day of the session. This fee helps cover studio and facilitator costs and still enables you to attend a workshop.

This system allows us to honour the time and preparation of our team while still offering a flexible way for you or your child to stay engaged.

If illness or injury prevents attendance for an extended period, please reach out to us as soon as possible — we’re happy to discuss options to support you or your family’s needs during recovery.

3. No-Shows or Late Cancellations (Less Than 24 Hours’ Notice)

If a session is cancelled with less than 24 hours’ notice and no notification is given (including due to sickness), the session will be marked as forfeited and no makeup or sickness credit will be provided. Your mentor will still be paid for holding that time.

4. Away during the term for holiday or work - Available to All Members

If you already know that you or your child will be away (e.g. for holidays or work commitments), please let us know before the beginning of the following term we’re happy to add up to two credits per term for the time away. These will be considered sickness credits to be used for one of our Workshops run during the term or holidays. Please note, because your session slot is reserved for you, payment is still required during absences.

5. Zoom Session Request  

If you or your child are feeling well enough to attend your session but are still showing signs of illness or if you are unable to make your session in person, you are welcome to request a Zoom session instead. 

How to:

  • Please notify your mentor before 8am on the day of your lesson in the chat function on Opus1. @yourmentor may I please have a zoom session today? 

  • Find the session you wish to join online and click - Join Online - this will give you access to their video conferencing link. You will be able to join the link no earlier than 15min.

MUSIC WORKSHOPS

We’re now offering a variety of fun, skill-building, high-value music workshops throughout the term. These workshops are designed to inspire creativity, grow new skills, and give students even more chances to engage with music in different ways.

  • You can browse and book workshops directly through our new Opus1 portal. If you have a makeup or sickness credit, you can use it to join — or simply pay to attend.

  • Workshops are open to all students. To keep the experience high-quality, each session is capped at 15 members and requires a minimum of 4 to go ahead.

Whether you’re looking to explore songwriting, performance, production, or just want to have fun with fellow members, there’s something for everyone.
